From confirmed inputs to a structured VAT Margin Scheme ledger.
SchemeLedger connects merchant-confirmed product and acquisition information with Shopify order financials, checks whether the required inputs are in place, and preserves completed calculations as ledger records.
One transaction. A controlled path to the ledger.
SchemeLedger is designed around an item-level workflow. Merchant decisions and confirmed inputs come first; Shopify financial data and SchemeLedger processing build on those inputs.

Start with the merchant decision.
You decide which products are managed under your VAT Margin Scheme workflow. SchemeLedger records that configuration rather than making the legal eligibility decision for you.
Classification happens at Shopify variant level, allowing the workflow to follow the specific product being sold.
Confirm how the product should be handled in SchemeLedger.
Give every relevant item a confirmed acquisition price.
The purchase price is a core input to an item-level VAT margin calculation. SchemeLedger lets you record the acquisition price, retain information about its source and explicitly confirm it before it is used by the workflow.
Shopify unit cost
Use the available Shopify unit cost as the source.
Manual entry
Enter the acquisition price directly.
CSV import
Bring acquisition-price data into the workflow in bulk.
Source is not confirmation.
Regardless of where the value originates, the merchant remains responsible for confirming the acquisition price used by SchemeLedger.
Connect the acquisition record with the Shopify sale.
When a configured product is sold, SchemeLedger uses the relevant Shopify order financials to build the selling-side inputs required by the VAT margin workflow.
Discounts and relevant shipping amounts are reflected according to SchemeLedger's defined calculation rules.
Straightforward supported cases can continue through the workflow. Transactions that cannot be handled safely under the defined rules are kept out of READY until they are reviewed.
Ready is a state, not an assumption.
Before SchemeLedger creates a completed ledger record, the transaction must have the information required by the workflow.
Required inputs are in place.
The transaction can proceed to a preserved ledger record.
Something needs attention.
The transaction remains visible for review instead of being silently treated as complete.
Outside the configured workflow.
The transaction is not processed as a Margin Scheme ledger record.
Design principle: uncertainty fails closed.
When SchemeLedger cannot safely complete a ledger record under its defined rules, it does not guess its way to READY.
Calculate the VAT margin from the confirmed inputs.
For a positive margin, VAT is calculated from the margin using the configured VAT rate.
VAT = Margin × VAT rate / (1 + VAT rate)
If the margin is zero or negative, VAT on the margin is zero.
Built for monetary calculations
SchemeLedger uses decimal arithmetic and centralized calculation rules rather than relying on ordinary binary floating-point arithmetic for money.

Resolve the issue. Then move forward explicitly.
REVIEW_REQUIRED transactions stay visible until the underlying issue has been addressed. Correct or confirm the required information, review the transaction, and explicitly resolve it when it is ready to proceed.
READY becomes a historical record.
Once the transaction is READY, SchemeLedger preserves the relevant calculation inputs and results as a ledger snapshot.
The ledger represents what was calculated at that point in time — not what today's product configuration happens to say.

Build reports from the ledger, not from reconstructed history.
SchemeLedger reports from the stored READY ledger entries, allowing the figures behind a reporting period to remain tied to the historical records they came from.
Review summarized figures and export the underlying ledger records to CSV when you need to work with them elsewhere.
One workflow, two sides.
SchemeLedger supports the record workflow — not the tax decision.
VAT Margin Scheme eligibility depends on the facts and applicable tax rules. SchemeLedger does not provide a legal determination that a product or transaction qualifies.
The merchant remains responsible for the applicable VAT treatment and for confirming the acquisition price, VAT rate and supporting information used by the app.
SchemeLedger provides the structured workflow around those confirmed inputs.
